Privacy policy

Who we are

Saervo is a Canadian grant strategy and writing consultancy. This policy explains what information this website collects, why it is collected, and how it is handled. It applies to saervo.com only. The Client Portal at docamass.saervo.com is a separate application with its own sign-in and its own handling of engagement documents.

What this website collects

This website has no accounts, no advertising, and no third-party tracking or analytics scripts. The only information collected is what you type into the contact form: your name, organization, email address, province, the type of support you are asking about, your message, and — if you choose to add them — a grant link and deadline.

As with any website, our hosting provider processes ordinary technical request data (such as IP address, browser type and timestamps) to serve pages and protect against abuse. We do not use that data to build profiles of visitors.

How contact form information is used

When you submit the contact form, the details are validated on our server and sent as an email to tobi@saervo.com using Resend, an email delivery provider. Your email address is set as the reply-to address so we can respond to you directly. The information is used only to reply to your inquiry and, if we go on to work together, to scope the engagement. It is never sold, rented, or used for marketing lists.

Service providers

We rely on a small number of providers to operate the site: a website hosting provider, and Resend for delivering contact-form email. These providers process the information described above only to provide their service to us. Resend may store the message in transit records in the ordinary course of email delivery.

Confidential documents

Please do not send financial statements, board records, or other confidential documents through the public contact form or by unencrypted email. During an active engagement, documents are exchanged through the secure Client Portal or another method agreed in writing.

Retention

Inquiry emails are kept in our business email account for as long as needed to respond and to maintain ordinary business and tax records, and are deleted when no longer needed. Records tied to a signed engagement are retained according to the terms of that engagement.

Your choices and your rights

Under Canadian privacy law, including PIPEDA and applicable provincial legislation, you may ask what personal information we hold about you, ask for a correction, or ask us to delete an inquiry. Email tobi@saervo.com and we will respond within a reasonable time. You can also choose not to use the contact form and email us directly instead.

Changes to this policy

If our practices change, we will update this page and revise the date above.
